Privacy Policy
This Privacy Policy explains what information Jaiya Seibert, on behalf of Shree Muktananda Ashram management (“we”, “us”, “our”) collects and how we use, store, share and protect it in connection with Management for SMA Emergency Text Alerts (the “Program”). The Program sends emergency text-message (SMS) alerts to members of the SYDA / SMA (Shree Muktananda Ashram) community who choose to sign up. Program texts are sent from +1 (855) 618-0733 and begin with “EMERGENCY - Jaiya Seibert:”, “URGENT JAIYA SEIBERT ALERT:” or “Jaiya Seibert Alert:” (the name of the person who sends them on behalf of Shree Muktananda Ashram management).
About this Program: This program is currently in a limited testing phase. It does not replace 911, official public warnings, or instructions from on-site staff.
In short: we use your mobile number only to send you emergency alerts and related messages, and to record whether each alert was delivered and acknowledged. We do not sell, rent or share your mobile number or your text-messaging opt-in data and consent with any third parties or affiliates for marketing or promotional purposes.
1. Information we collect
- Sign-up details: what you enter in the Program’s online sign-up form (Microsoft Forms): your name, your mobile phone number, your agreement to receive Program texts and, only if you choose to give them, your email address and department. The form also records the date and time you submitted it.
- Consent record: whether you have agreed to receive Program text messages (Yes/No), when you agreed, and how (the online sign-up form), kept in the Program’s internal (non-public) recipient list.
- Message records: the text of each alert sent, the date and time it was sent, and its delivery status as reported by our messaging provider and wireless carriers (for example, delivered, undelivered or failed, with any error code).
- Your replies: if you reply YES (or Y) to an alert, we record that you acknowledged it and when. Our system does not store the text of other replies; our messaging provider may keep them in its own message logs (see section 4).
We do not collect your location, contacts, or any information from your phone other than what is described above.
2. How we collect it
You give us your name and mobile number yourself by completing the Program’s online sign-up form (Microsoft Forms) and answering its required consent question by selecting the single “Yes, I agree…” option. That option is unselected until you choose it. You are added to the Program only if you agree; people who have not agreed are never sent Program messages. If you email us to change or remove your number, we record that request. Delivery status and acknowledgement information is generated automatically when an alert is sent and when you reply.
3. How we use it
- To send you emergency and safety alerts and occasional test messages for the Program.
- To confirm your acknowledgement when you reply YES, and to see who may not have received an alert so that they can be contacted another way.
- To operate, troubleshoot and secure the Program, to keep a record of your consent, and to honor opt-out (STOP) requests.
We do not use Program information for marketing, advertising, fundraising, or any purpose unrelated to emergency communications.
4. How we share it
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. We do not sell, rent, trade or lease your personal information. Program information is used only to send and manage emergency alerts on behalf of Shree Muktananda Ashram management. During an emergency, authorized management personnel may see whether an alert was delivered or acknowledged so that people who may not have received it can be contacted another way.
To run the Program we use a small number of service providers that process information only on our behalf and only to provide their service to us:
- Twilio Inc. – delivers the text messages and receives replies. Your mobile number and each message are passed to Twilio and to your wireless carrier so the message can be delivered.
- Microsoft (Microsoft 365: Forms, SharePoint and Power Automate) – collects your sign-up form responses and stores the internal recipient list and consent records.
- Cloudflare (Workers and D1 database) – runs the sending service, hosts these pages, and stores message delivery and acknowledgement records.
Information sharing with these service providers (subcontractors) in support of the Program is permitted only as needed to deliver messages and operate the service. Service providers that collect, store or transmit sign-up and consent records (for example, Microsoft Forms) do so only on our behalf to operate the Program, not for their own use.
All the above categories exclude text messaging originator opt-in data and consent; this information won’t be shared with any third parties.
We may also disclose information if required by law, subpoena or other legal process, or where necessary to protect the safety of any person (for example, telling emergency responders who may not have received an alert during an emergency).
5. How long we keep it
We keep your contact details and consent record for as long as you are enrolled in the Program. Message delivery and acknowledgement records, and sign-up responses from people who are no longer enrolled, are kept for 12 months and then deleted, unless we need them longer to review an emergency or meet a legal obligation. When you opt out or ask to be removed, we remove or deactivate your number in the recipient list.
6. How we protect it
Access to the sign-up responses and recipient list is limited to Jaiya Seibert and authorized Shree Muktananda Ashram management personnel who need it to run the Program. The sending service requires secret credentials, verifies that incoming messages genuinely come from our messaging provider, uses encrypted (HTTPS) connections, and masks phone numbers in its operational logs. No method of storage or transmission is completely secure, but we use reasonable administrative, technical and physical safeguards to protect your information.
7. Your choices
- Opt out: reply STOP to any Program message, or contact us (section 9). You will receive one confirmation message and no further Program texts. Please note that if you opt out you will not receive emergency alerts by text.
- Help: reply HELP to any Program message, or contact us.
- Access or correct: contact us to review, update or remove the mobile number and consent record we hold for you.
8. Eligibility and children
The Program is only for members of the SYDA / Shree Muktananda Ashram community who are 18 or older. We do not knowingly enroll anyone under 18. If we learn that a participant is under 18, we will remove their number from the recipient list.

10. Changes to this policy
We may update this Privacy Policy from time to time. The current version will always be posted at this address with its effective date. If we make a material change to how we use or share Program information, we will notify enrolled recipients before the change takes effect. If Shree Muktananda Ashram management later sends alerts directly under its own name or messaging account, we will tell enrolled recipients before that happens and ask for your consent again.
